This Privacy Policy explains how Matrix Traffic and Transport Data Pty Ltd (ABN 56 112 563 201) ("Matrix", "we", "us") collects, uses, and protects information through the Matrix Field Ops mobile application ("the App").
The App is a private, internal business application distributed only to Matrix employees and authorised contractors via Apple Business Manager. It is not available to the general public.
1. Who this policy applies to
This policy applies to authorised users of the Matrix Field Ops App, namely Matrix employees and contractors who have been issued credentials to access the App as part of their work duties.
2. Information we collect
The App collects the following categories of information:
Account and identity information – your name, work email address, and user identifier, provided through Microsoft Entra ID (single sign-on) when you sign in.
Location data – precise device location, used to associate work activity with specific job sites, navigate to assigned jobs, and confirm site arrival.
Work activity data – information you enter or generate while using the App, including job assignments, shift start and end times, equipment checked in or out, incident and safety reports, pre-shift safety checks, lone worker check-ins, and timesheet entries.
Device and diagnostic information – basic device identifiers, operating system version, and crash or performance diagnostics, used to maintain and improve the App.
3. How we use this information
Information collected through the App is used solely for legitimate business purposes, including:
Authenticating you as a Matrix employee or authorised contractor.
Assigning, dispatching, and tracking field work.
Managing equipment allocation and return.
Recording workplace health and safety information, including SWMS compliance, incident reports, and lone worker monitoring.
Producing timesheets, payroll records, and operational reports.
Maintaining the security, reliability, and performance of the App.
4. Sharing of information
Matrix does not sell your information. Information collected through the App is accessible only to authorised Matrix personnel and to service providers that support the App's operation, including:
Microsoft (Azure / Entra ID) for authentication and identity services.
Cloud hosting and infrastructure providers used to store Matrix operational data.
Mapping and location service providers used to display job site locations.
We may also disclose information where required by law, court order, or to protect the safety of our personnel.
5. Data storage and security
Information collected by the App is stored on Matrix-controlled cloud infrastructure with access restricted to authorised personnel. We use industry-standard security measures including encrypted transport (HTTPS/TLS), encrypted storage, and role-based access controls.
6. Data retention
We retain operational records for the period required to meet our business, contractual, and legal obligations, including workplace health and safety record-keeping requirements under Australian and New Zealand law. When information is no longer required, it is deleted or de-identified.
7. Your rights

8. Children
The App is not intended for, and is not made available to, anyone under the age of 18. The App is restricted to Matrix employees and authorised contractors.

We may update this policy from time to time. The "Last updated" date at the top of this page indicates when it was last revised. Continued use of the App after an update constitutes acceptance of the revised policy.
